Part Time Logistics & Operations Coordinator
ROLE DESCRIPTION
The Logistics & Operations Coordinator is the operational backbone of Wesper’s fulfillment and logistics function, working directly alongside the Logistics Manager on a small, high-ownership team. This role is primarily focused on managing day-to-day 3PL communication, ensuring order accuracy across two daily push cycles, coordinating returns and RMA processing, and maintaining precise inventory records. The right person is hands-on, detail-oriented, and comfortable operating across multiple systems in a fast-paced environment.
This role will work approximately 20 hours per week with core working hours between 10-6 pm ET.
This is an in - person role at our LIC facility.
WHAT YOU WILL BRING
- Attention to detail catching order discrepancies before they ship
- 3PL fluency: you've worked with third-party logistics partners and know how to communicate clearly across email and WMS ticketing systems.
- Warehouse and inventory experience, you've managed incoming and outgoing orders and kept inventory records accurate across systems.
- Hands-on returns inspection, comfortable physically receiving, inspecting, and logging returned or damaged units one by one.
- Quality mindset
- Deadline discipline you've worked in environments with hard daily cutoffs
RESPONSIBILITIES
3PL Communication & Coordination
- Serve as the primary daily point of contact for two active 3PL partners, with a third coming online in June 2025.
- Communicate shipment instructions, schedules, and exception resolutions primarily via email and 3PL WMS ticketing systems.
- Attend weekly 3PL coordination meetings and ensure follow-through on all action items.
- Track inbound and outbound shipments, proactively resolve delivery exceptions, and keep the Logistics Manager informed.
- Manage 3PL support tickets from open to close, maintaining clear documentation throughout.
- Maintain accurate inventory records across Salesforce and the 3PL WMS.
- Use Excel to log internal inspection results and RMA tracking data.
- Monitor 3PL component stock levels and proactively initiate replenishment shipments when thresholds are reached.
- Support regular cycle counts and inventory reconciliation activities.
- Coordinate stock movement related to RMA, refabrication, and order fulfillment.
Refabrication Coordination
- Conduct hands-on inspection and sorting of returned or defective units as part of the RMA workflow.
- Coordinate with production and quality teams to ensure timely completion of repair or rework tasks.
- Verify all refabricated units meet quality standards before re-shipment.
RMA Handling & Returns Processing
- 3PL RMA and Regular customer returns
- Maintain detailed RMA records in Excel and collaborate with quality and production teams to address recurring product issues.
- Coordinate return, replacement, or repair actions according to Wesper’s RMA policy
- Perform daily order sanity checks before each push cycle verifying product type, quantity, and destination.
- Identify order discrepancies and manually post irregular orders between Salesforce and the 3PL WMS.
- Communicate order issues promptly with sales, operations, and warehouse teams before shipment.
REQUIRED SKILLS AND QUALIFICATIONS
- 2+ years of experience in logistics coordination, warehouse operations, or order management.
- Hands-on experience working with 3PL partners, including day-to-day communication and WMS ticket management.
- Proficiency in Excel or Google Sheets for logging, tracking, and reconciliation tasks.
- Strong attention to detail — comfortable catching and correcting order discrepancies before they escalate.
- Excellent written communication skills; the majority of 3PL coordination is conducted via email.
- Ability to lift 60 lbs
- Ability to manage multiple daily deadlines (order push cycles) and shifting priorities.
- Based in or able to reliably commute to Long Island City, NY (on-site role).
- Experience with CRM/ERP in an operations context.
- Background in RMA processing, reverse logistics, or quality inspection.
- Bachelor’s degree in Supply Chain, Logistics, Business, or a related field.

COMPENSATION & BENEFITS
